If you’re using a different PDF viewing program like Foxit, which I highly recommend, then you can also search multiple PDF files easily. Once you run the program just click on the little folder search icon that is located to the left of the search box at the top right of the program screen. You have lots of control and lots of possibilities for running effective and efficient searches in Adobe Acrobat. A search can be broad or narrow, including many different kinds of data and covering multiple Adobe PDFs.

If you work with large numbers of related PDFs, you can define them as a catalog in Acrobat Pro, which generates a PDF index for the PDFs. Searching the PDF index—instead of the PDFs themselves—dramatically speeds up searches. See Creating PDF indexes.

You run searches to find specific items in PDFs. Youcan run a simple search, looking for a search term within in a singlefile, or you can run a more complex search, looking for variouskinds of data in one or more PDFs. You can selectively replace text.

Multiple

You can run a search using either theSearch window or the Find toolbar. In either case, Acrobat searches the PDF body text, layers,form fields, and digital signatures. You can also include bookmarksand comments in the search. Only the Find toolbar includes a ReplaceWith option.

When you type the first few letters to search in a PDF, Acrobat provides suggestions for the matching word and its frequency of occurrence in the document. When you select the word, Acrobat highlights all the matching results in the PDF.

The Search window offersmore options and more kinds of searches than the Find toolbar. Whenyou use the Search window, object data and image XIF (extended imagefile format) metadata are also searched. For searches across multiplePDFs, Acrobat also looks at documentproperties and XMP metadata, and it searches indexed structure tagswhen searching a PDF index. If some of the PDFs you search haveattached PDFs, you can include the attachments in the search.

Note:

PDFs canhave multiple layers. If the search results include an occurrenceon a hidden layer, selecting that occurrence displays an alert thatasks if you want to make that layer visible.

Where you start your search depends on thetype of search you want to run. Use the Find toolbar for a quicksearch of the current PDF and to replace text. Use the Search windowto look for words or document properties across multiple PDFs, useadvanced search options, and search PDF indexes.

    • Choose Edit > AdvancedSearch (Shift+Ctrl/Command+F).

    • On the Find toolbar, click the arrow andchoose Open Full Acrobat Search.

    Search appears as a separate window that you canmove, resize, minimize, or arrange partially or completely behindthe PDF window.

Arrange the PDF document windowand Search window

  1. Acrobat resizes and arranges the two windows side by side so that together they almost fill the entire screen.

    Note: Clicking the Arrange Windows button a second time resizes the document window but leaves the Search window unchanged. If you want to make the Search window larger or smaller, drag the corner or edge, as you would to resize any window on your operating system.

The Find toolbar searches the currently openPDF. You can selectively replace the search term with alternativetext. You replace text one instance at a time. You cannot make aglobal change throughout a PDF or across multiple PDFs.

  1. Type the text you want to search for in the text boxon the Find toolbar.
  2. To replace text, click Replace With toexpand the toolbar, then type the replacement text in the ReplaceWith text box.

The Search window enablesyou to look for search terms in multiple PDFs. For example, youcan search across all PDFs in a specific location or all files inan open PDF Portfolio. The ReplaceWith option is not availble in the Search window.

Note:

If documents are encrypted (havesecurity applied to them), you cannot search them as part of a multiple-documentsearch. Open those documents first and search them one at a time.However, documents encrypted as Adobe Digital Editions arean exception and can be searched as part of a multiple-documentsearch.

    During a search, you can click aresult or use keyboard shortcuts to navigate the results withoutinterrupting the search. Clicking the Stop button under the search-progressbar cancels further searching and limits the results to the occurrences alreadyfound. It doesn’t close the Search window or delete the Resultslist. To see more results, run a new search.

After you run a search from the Search window,the results appear in page order, nested under the names of eachsearched document. Each item listed includes a few words of context(if applicable) and an icon that indicates the type of occurrence.

The icon next to an instance of the searchresults indicates the search area in which the instance appears.Selecting an icon has the following effect:

Makes the document active in the document window. Expandthe list to show the individual search results within that document.

In PDFs, jumps to that instance of the search term, usuallyin the body text of the PDF. The instance of the search term is highlightedin the document.

In non-PDF files, opens the file; or if opening of that filetype is restricted, opens a message dialog box.

Opens the Bookmarks panel and highlights the instances of thesearch terms.

Opens the Comments panel and highlights the instances of thesearch terms.

May open a message indicating that the layer is hidden and askingif you want to make it visible.

Opens a file that is attached to the searched parent PDF andshows the highlighted instances of the search terms.

Bydefault, the Search window displays basic search options. ClickShow More Options near the bottom of thewindow to display additional options. To restore the basic options,click Show Less Options near the bottom ofthe window.

Note:

You can set a preference so thatMore search options always appear in the Search window. In the Preferencesdialog box under Categories, select Search.

Searches for instances that contain all your search words,but not necessarily in the order you type them. Available only fora search of multiple PDFs or index definition files.

Uses the Boolean operators that you type with the search words into the What Word Or Phrase Would You Like To Search For box. Available only for searching multiple PDFs or PDF indexes.

Note: You cannot run wildcard searches using asterisks (*) or question marks (?) when searching PDF indexes.

Includes the basic search options plus five additional options:

Searchesfor two or more words that are separated by no more than a specifiednumber of words, as set in the Search preferences. Available onlyfor a search of multiple documents or index definition files, andwhen Match All Of The Words is selected.

Findswords that contain part (the stem) of the specified search word.For example, a search for opening finds instances of open, opened, opens, and openly.This option applies to single words and phrases when you searchthe current PDF, a folder, or an index created with Acrobat 6.0or later. Wildcard characters (*, ?) aren’t permitted in stemmingsearches. Stemming isn’t available if either Whole WordsOnly or Case-Sensitive is selected.

Searches the text of any bookmarks, as viewed in the Bookmarkspanel.

Searches the text of any comments added to the PDF, as viewedin the Comments panel.

Searches files that are attached to the current PDF or otherattached PDFs (up to two levels deep).

Use These Additional Criteria (documentproperties)

Appears only for searches across multiple PDFs or PDF indexes. You can select multiple property-modifier-value combinations and apply them to searches. This setting does not apply to non-PDF files inside PDF Portfolios.

Note: You can search by document properties alone by using document property options in combination with a search for specific text.

Applies the criteria set in the three connected options tothe search. (The check box is selected automatically when you enterinformation in any of the three options for that set. After youenter options, deselecting the check box doesn’t clear the entries;they just aren’t applied to the search.)

Indicates the document characteristic to search for. The availableoptions include Date Created, DateModified, Author, Title, Subject, Filename, Keywords,Bookmarks, Comments, JPEG Images, XMPMetadata, and Object Data.

Indicates the level of matching. If the first menu selection is a date, the available options in the second menu are Is Exactly, Is Before, Is After, Is Not. Otherwise, the available options are Contains and Does Not Contain.

Indicates the information to be matched, which you type in.If the first menu selection is a date, you can click the arrow toopen a calendar that you can navigate to find and select the dateyou want.

Commonly used Boolean operators include the following:

AND

Use between two words to find documents that contain both terms, in any order. For example, type paris AND france to identify documents that contain both paris and france. Searches with AND and no other Boolean operators produce the same results as selecting the All Of The Wordsoption.

NOT

Use before a search term to exclude any documents that contain that term. For example, type NOT kentucky to find all documents that don’t contain the word kentucky. Or, type paris NOT kentucky to find all documents that contain the word paris but not the word kentucky.

OR

Use to search for all instances of either term. For example, type email OR e-mail to find all documents with occurrences of either spelling. Searches with OR and no other Boolean operators produce the same results as selecting the Any Of The Words option.

^ (exclusive OR)

Use to search for all instances that have either term but not both. For example, type cat ^ dog to find all documents with occurrences of either cat or dog but not both cat and dog.

( )

Use parentheses to specify the order of evaluation of terms. For example, type white AND (whale OR ahab) to find all documents that contain either white and whale or white and ahab. (The query processor performs an OR query on whale and ahab and then performs an AND query on those results with white.)

A full-text index is created when someoneuses Acrobat to define a catalog of PDFs. You can searchthat index rather than running a full-text search of each individualPDF in the catalog. An index search produces a results list withlinks to the occurrences of the indexed documents.

Note:

To searcha PDF index, you must open Acrobat asa stand-alone application, not within your web browser.

Mac

In Mac OS, indexes created with some older versions of Acrobat are not compatible with the Acrobat X Search feature. If you have upgraded recently, update the index before using Acrobat X to search.

Inthe Preferences dialog box under Categories, select Search.

Finds both half-width and full-width instances of the Asianlanguage characters in the search text.

Finds the search terms with any variation of the alphabeticalcharacters. For example, typing cafe finds both cafe and café. Likewise,typing café finds both versions. If this option isn’t selected,typing cafe doesn’t find café, and vice versa.

Shows the additional options available in the Search window,in addition to the basic options.

Displays document titles in search results. If a documentdoes not have a title, displays the filename. When deselected, displaysfilenames in search results.

Limits the search results in the Search PDF windowto a specific number of documents. The default value is 500, butyou can enter any number from 1 to 10,000.

Limits the search results to those in which the number ofwords between the search terms isn’t greater than the number youspecify. Accepts a range from 1 to 10,000.

Generates a cache of information from any PDF that you search.This cache reduces subsequent search times for that PDF.

Limits the temporary cache of search information for the Fast Find option to the specified size in megabytes (from 5 to 100,000). The default setting is 100.

Deletes the Fast Find option’s entiretemporary cache of search information.

Windows doesn’t have an integrated tool like Preview for Mac OS X — it doesn’t even come with a PDF printer. Here’s how to split, merge, reorder, sign, and mark-up PDF files with the least obnoxious software possible.

If you have the paid version of Adobe Acrobat on your PC, it can do this — you might have this on a work computer. Be sure to avoid web-based software tools — don’t upload any PDFs with sensitive personal, financial, or business data to web-based PDF tools.

Split PDF Files

You may sometimes want to split a PDF file, extracting some pages from it and creating a new PDF file with them. The PDFSam (PDF split and merge) tool we mention below can do this, but you may already be able to do this with software on your PC.

Google Search Tool For Website

All you really need for this is a PDF viewer and software that can print to PDF. This could be Adobe’s official Adobe Acrobat Reader application and a third-party PDF printer like CutePDF Writer. However, CutePDF and similar applications have installers full of the terrible Ask Toolbar and other horrific junkware, so steer clear from these programs if possible — or just be extra careful when installing CutePDF Writer(or Download from Ninite).

If you have Google Chrome installed on your PC, it can actually do this. Google Chrome includes both an integrated PDF viewer and print-to-PDF features. Drag-and-drop a PDF file into the Chrome browser window to open it in Chrome. Click the menu button in Chrome and select Print. Click the “Change” button under Destination and choose Save as PDF.

Under Pages, specify the range of pages you want to extract. For example, you could enter 1-5 to extract pages 1-5, or enter 1-3, 6, 9 to extract pages 1-3, 6, and 9. If you want to split a PDF into several files, repeat this process — for example, print one PDF file with pages 1-5 and a second PDF file with pages 6-10.

Merge and Reorder PDFs

The best free tool we’ve found for merging pages from several PDF files into one on Windows is PDFSam — short for “PDF split and merge.” It’s free and open-source. Unfortunately, it relies on having Java installed on your PC — something we try to avoid. If you do need to merge PDFs with this tool, be sure to at least disable the Java browser plug-in or just uninstall Java entirely after you’re done. PDFSam itself doesn’t try to install junkware on your computer when you install it, but the Java runtime does.

Install the tool, select the Merge/Extract plug-in, and add multiple PDF files. Use the options at the bottom of the window to combine them into a single PDF file.

This tool also allows you to reorder the pages in a PDF file into a different order, which could help if you scanned the pages of a document in the wrong order. PDFSam also has a built-in plug-in for splitting PDFs.

Sign and Mark Up PDF Documents

Adobe’s PDF reader app — formerly Adobe Reader and now Adobe Acrobat Reader DC — has some integrated markup features. These allow you to sign PDFs right on your computer and add comments that can include text and drawings.

These are particularly useful for completing documents on your computer. You can fill in a form or contract and apply a signature without having to print, sign, and scan the document back in.

Mac Search Tool For Multiple Pdf Files

To use these features, open a PDF file in Adobe Acrobat Reader DC and click the “Comment” or “Fill & Sign” options in the righthand sidebar. The “Comment” tool allow you to annotate a PDF, adding text and drawings anywhere you like. The “Fill & Sign” tool allows you to add a signature anywhere in the document. These particular features are free, although many of Adobe Acrobat Reader DC’s advanced features require a paid subscription.

You don’t need paid software for this, although Adobe Acrobat will do all of these things if you have a license. Adobe Acrobat may be provided by your workplace, but home users won’t want to spend over $400 on it. Just use the free tools above for basic PDF-editing — and be sure to avoid web-based PDF-editor tools. Don’t upload any potentially sensitive document to a tool you don’t trust.
